The Tech Scout Is a Filmmaking Tool

Most people walk a tech scout and come back knowing where the bathrooms are. A DP who has done this a few hundred times comes back with a locked lighting plan.
The difference is not experience with locations. It is knowing what you are actually there to decide.
What the Tech Scout Is Actually For
A tech scout is a filmmaking decision session that happens before the camera shows up.
Every location has a finite set of lighting conditions, angles, and logistical realities. The tech scout is when you identify those and decide how the film responds to them, rather than improvising that decision at 7am with a full crew standing around billing hours.
A four-hour tech scout that produces a complete lighting plan for every setup is the cheapest four hours in the production budget. A rushed tech scout that leaves decisions for the set day will cost triple that in overtime, compromise, and shots cut for time.
The math is not complicated. A five-person shooting crew at DFW rates runs roughly $2,500 to $4,000 per day before camera, grip, and electric. Every hour of improvised problem-solving on set costs $300 to $500 in direct labor. Every setup that runs an hour long because the DP did not know what they were walking into compounds that across the day.
What to Photograph and Why
Walk the location with your phone on silent and shoot everything. Specific things that matter.
Every window, every direction. Photograph from inside looking out, outside looking in, and the angle the camera will occupy relative to each window. Note the compass direction. In post-production of the scout, you will match window angles against sun position for your shoot date and time of day using a sun calculator. This converts every window from an unknown into a predictable light source.
The ceiling and the floor. Bounce sources and negative fill positions. A white ceiling in a conference room will eat your contrast. A dark floor will separate. Know this before you light.
Existing practicals. Every lamp, every overhead fixture, every neon sign. These are either assets you will match or obstacles you will fight. Make that decision on the scout, not on set.
The power panel. Photograph the breaker box and note amperage on every circuit you might use. Know before the gaffer arrives whether the location will support your electric package or whether you need to bring a generator.
Every angle the camera will occupy. Not just the hero angle, every angle. The reverse. The over-the-shoulder. The wide that establishes the room. Walk the camera positions while shooting stills from waist height so you approximate what the lens will see.
The worst-case light at your shoot time. If you are scouting at noon and shooting at 4pm, use the sun calculator to estimate where the light will be and photograph accordingly. If you cannot visit at the right time, find someone who can or adjust your expectations.
The Questions That Change Everything
You are trying to answer specific questions that cannot be answered from a location photo, a Google Maps image, or anything your producer sent you before the scout.
Can I control the light? On a stage, yes. On a practical location, this is the first and most important question. Can the windows be covered with muslin or duvetyn? Are there skylights that cannot be blocked? Is there a neighboring building that will spill blue daylight into your scene at 3pm whether you want it or not?
Where does the day go? Every location has a time when it becomes difficult. A west-facing window location has roughly three hours of direct sun entering the frame in late afternoon. Once you know that, you schedule your most controllable setups for those windows and your practical-interior setups for the morning.
What does the art direction need? The DP's job on a tech scout is not just lighting. It is confirming that what the director and production designer have planned is achievable in the actual space. A scene blocked for a long lens with the subject against a window needs enough physical distance between camera and subject. Walk the distance. Confirm it exists.
What is the neighbor problem? Adjacent businesses, traffic patterns, HVAC units on roofs, airports in the landing path. Audio is a lighting problem too, because a scene that cannot be recorded clean on set will cost more in post.
How the Best DPs Use Tech Scout Notes
The output of a good tech scout is not notes. The output is a shot list modification, a schedule modification, and a lighting plan.
After the scout, a DP with a professional process does three things before the next production meeting.
First, they revise the shotlist with every angle confirmed by the actual space. The blocking the director imagined in a planning session and the blocking that works in the actual room are often different. The scout is when you reconcile those.
Second, they send the gaffer a location-specific electric and lighting plan. Not "we'll need some HMIs," but: which fixtures, approximate positions, which windows need diffusion, what the power situation is, and whether there is a generator in the budget. The gaffer who walks onto set with that information is ready to work. The gaffer who hears it for the first time at the truck is burning an hour of setup time.
Third, they flag every location constraint to the AD so the schedule reflects reality. If the east-side windows are impossible to shoot into after 10am, that is a schedule constraint. Flag it at the tech scout, not at 10:01am on set when the AD is being asked to move coverage.
The Failure Mode Nobody Talks About
The most expensive tech scout mistake is not missing something. It is not acting on what you found.
A DP can do a thorough scout, identify every problem, photograph every angle, and then not update the shotlist, not brief the gaffer, and not flag constraints to the AD. The scout becomes a private archive of information that does not change the plan.
The information is only worth what you do with it. The scout produces output that modifies the production plan. If the production plan does not change after the scout, the scout was a walk.
The Tech Scout as a Trust Signal
Clients and producers who have worked with prepared DPs versus unprepared DPs know the difference immediately. A DP who arrives at the scout with a call sheet, asks specific questions about logistics, and sends a location brief within 24 hours is demonstrating that the set day will be organized. A DP who asks "so when do we start shooting tomorrow?" is not.
The tech scout is often the first time a DP and director work together in a real space. The quality of that session predicts the quality of the set day more accurately than any reel.
Arrive knowing what you need to know. Leave having decided what you needed to decide.
