GLM Rentals App Privacy Policy

We collect information only when you submit a rental request. At that point, we collect:

• Name, so we know who the request is from.
• Email address, so we can confirm availability, send your invoice, and reach you about the rental.
• Phone number (optional), if you choose to provide it, so we can reach you faster about your request.
• Delivery address (only for delivery requests). If you choose local DFW delivery instead of pickup at GLM in Rockwall, we collect the delivery address so we know where to bring the gear. If you choose pickup, we do not collect a delivery address.

Alongside that, your request includes the rental details you selected in the App, such as the items, the dates, your protection plan choice (GLM Shield or GLM Shield+), and whether you chose pickup or delivery.

What we do not collect:

• We do not require an account or password.
• We do not access your device location or GPS.
• We do not use third-party advertising networks.
• We do not include analytics or tracking SDKs in the App.
• We do not take payment in the App, so we do not collect card or bank details there. There is no in-app purchase.

Product images in the App load from third-party content delivery networks (CDNs) that host those images. When your device loads an image, the CDN may receive standard technical request information, such as your device's IP address, as part of delivering the image. This is how images are served on the internet generally. We do not control those CDNs and we do not use them to identify or track you.

We use the information you submit only to:

• Review and confirm availability for your requested gear and dates.
• Process and fulfill your rental request, including arranging pickup or delivery.
• Send you an invoice for the rental.
• Contact you about your request, your rental, and related service or scheduling matters.

A rental request submitted in the App is a request, not an instant confirmed booking. We review availability and confirm with you. Payment is handled outside the App through an invoice we send.

We do not use your information for advertising, and we do not build advertising or tracking profiles.

We do not sell your personal information. We do not share it for cross-app or cross-site tracking, and we do not use it for targeted advertising.

We share your information only in these limited situations:

• Invoicing. We use QuickBooks to send invoices and process billing for your rental. To send your invoice, we provide QuickBooks with the information needed for that purpose, such as your name and email address. QuickBooks acts as a service provider handling that information on our behalf, and its own terms and privacy practices govern its services.
• Service providers. We may use other trusted providers that help us operate our business and deliver the rental, for example email delivery for confirmations. These providers handle information only as needed to perform services for us.
• Legal reasons. We may disclose information if required by law, regulation, legal process, or to protect the rights, property, or safety of GLM, our customers, or others.
• Business transfers. If GLM is involved in a merger, acquisition, or sale of assets, customer information may be transferred as part of that transaction, consistent with this policy.

We do not sell your data, rent it, or use it for ads.

Information you submit is sent to and stored on GLM's own servers so we can process and confirm your rental request and contact you. Our invoicing partner QuickBooks stores the billing information needed to send and manage your invoice.

We keep your information for as long as we need it to process your request, fulfill the rental, complete invoicing and payment, and meet our business, tax, and legal recordkeeping obligations. When we no longer need it for these purposes, we delete it or otherwise stop retaining it. Billing records held in QuickBooks are retained according to our accounting and tax recordkeeping needs.

The App is intended for working film, video, and photo crew and businesses. It is not directed at children, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us information, contact us at intake@gearedlikeamachine.com and we will delete it.

You can:

• Provide less. Phone number is optional, and a delivery address is collected only if you choose delivery. You can choose pickup at GLM in Rockwall instead.
• Access or correct. Ask us what information we hold about you, or ask us to correct it.
• Delete. Ask us to delete the information you submitted, subject to records we are required to keep for tax, accounting, or legal reasons.
• Opt out of non-essential contact. Ask us to limit our messages to what is necessary for your active rental request.

Depending on where you live, you may have additional rights under applicable privacy laws. To exercise any of these, email us at intake@gearedlikeamachine.com and we will respond within a reasonable time. We will not deny you service for exercising your privacy rights.

We take reasonable measures to protect the information you submit. The App does not require an account, and we keep data collection minimal by design, which limits what could be exposed. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to protect your information and limit access to it to those who need it to serve you.

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date above and, where appropriate, provide additional notice. Your continued use of the App after an update means you accept the revised policy.
